How it works

Six stages for every document

The input is fed with documents that have already been scanned. The rest of the journey happens without anyone triggering it, and stops only when there is something a person has to resolve.

  1. Receive

    Scans arrive in a shared folder. The system picks them up on its own, discards duplicates by file content and sets aside anything too poor to be read reliably.

  2. Prepare

    Splits the pages, straightens the ones that came in rotated and tunes the image to the point where reading performs best.

  3. Recognize

    Identifies which document it is among every configured type. No need to sort the piles before scanning.

  4. Extract

    Artificial intelligence reads the fields defined for that type: names, ID numbers, amounts, dates.

  5. Validate

    Checks every field against the document's own rules. Anything in doubt goes to review, never quietly accepted.

  6. Deliver

    Seals the capture record, files the document in a long-term format and publishes it as searchable along with its data.

All three run in the browser, with nothing to install on the workstations.

Operations portal

For the people doing the scanning. It shows live what came in, what went out and what is waiting, and it is where doubtful documents are reviewed and corrected, with the document image right beside them.

Administration console

Sets up document types, their fields and their rules, and watches the health of the service. We run it, and it has no access to document content.

Document search

Finds a document by any of its data, and reports which field matched. Viewing, download and reports by period, type and branch, with per-user permissions.

Privacy by design

Artificial intelligence works inside the institution

Processing happens on the institution's own infrastructure. Documents and the data they hold never travel to third-party cloud services, which reduces exposure under Ecuador's data protection law and fits the control requirements of the regulated sector.

Every document is filed with a digital fingerprint of its content, so that years later it can be proven that the file was never altered. Every correction is recorded with its author and date.
